Abstract This report is one of the outcomes of the internship of the writer at the Singapore Telecommunications Ltd. (SingTel). The internship project was on the development of a Business to Enterprise Conference Room Booking System being used in SingTel. Singapore Telecommunications Co. Limited (SingTel) is the largest company listed on the Singapore Exchange which serves both the corporate and consumer markets. It was incorporated in March 1992 and became a public company in October 1993. The SingTel Group is committed to bringing the best of global communications to customers in the Asia Pacific and beyond. Its operations run in Singapore and Australia (through wholly-owned subsidiary SingTel Optus), where the Group provides comprehensive services that include voice and data services over fixed, wireless, and Internet platforms. One of the systems available to SingTel?s intranet applications is a B2E Conference Room Booking System (CRBS). It is a booking system that is being used by appointed SingTel?s administration staff and the CRBS system administrator from Elyo SEA Property Division to book conference rooms available to all of SingTel staff to use. These conference rooms includes the ChatZones at the first level of the SingTel Comcentre and the SingTel?s theatrette at the Comcentre podium. The system manages in total 11 conference rooms ranging from a capacity of 6 to 163. The people who can use these rooms are all SingTel and SingTel subsidiaries (Telecom Equipment Pte Ltd, National Computer Systems Pte Ltd, SingTel Yellow Pages) staff. However they can only book these rooms via appointed SingTel?s administration staff or through the CRBS administrator as accesses to this system are granted only to these people. Currently, the outsourced agent managing the conference room faced many issues. The most crucial one would be the inefficient use of the rooms caused by not releasing booked rooms when meetings are cancelled. Statistics collated by the agent reported that booked rooms were actually only 79.37% used. The other problemws were on security and productivity issues faced by the system administrators. The system needs to be completely overhauled to tackle the above issues. The internship covers the development of the CRBS according to the system improvement objectives. The major modules are the room booking module, the administration module and the confirmation reminder module. The room booking module includes functions such as booking a room for one time slot, booking a room for one whole day, cancelling a booking, modifying a booking, viewing bookings that have been made by user and viewing the list of available conference rooms. The administrator modules are broken down into three sub-modules which are the user maintenance module, the room maintenance module, and the report module. The confirmation reminder module plays the key role in reducing non turn-ups consist of batch jobs that generate reminders and automatically cancel bookings if unconfirmed. All of these modules will be developed during the execution of the internship as accordingly to the system improvement objectives.
